Information you provide

When you request a quote or contact us, we collect the information you submit. This can include your name, business or artist name, email address, optional phone number, the service you need, estimated project budget, preferred timeline and project description. We also receive the contents of emails and any attachments you send.

We use this information to respond, understand your requirements, prepare a quote and discuss your project. Please provide only information relevant to your enquiry; do not send passwords, payment-card details or other sensitive information through the quote form.

Required form fields are marked. If you prefer not to use the form, you can email us. If you do not provide enough information to identify your request or contact you, we may be unable to respond or prepare a quote.

Technical information and cookies

Website, hosting and security systems may process technical information such as IP addresses, browser information, pages requested, timestamps and error records to deliver the site, troubleshoot problems and prevent abuse. WordPress and form-related services may use functional or security cookies and similar tools.

We do not currently use analytics tools, advertising pixels or newsletter signups on this website, and we do not accept online payments through it. You can manage cookies through your browser settings; blocking functional cookies may affect some features.

Who may access information

Access to enquiry information is limited to people handling enquiries, preparing quotes, delivering agreed services or administering the website and communications. Hosting, email, form-processing and security providers may process the contact details, messages or technical information needed to support those functions.

Depending on the providers used, information may be stored or processed outside Québec, including outside Canada, where different laws may apply. You can contact our Privacy Officer for information about the providers and locations relevant to your request.

Information may also be disclosed where required or permitted by applicable law. A project involving additional collection or sharing will be addressed through the relevant project arrangements and privacy notices.

Retention and protection

We retain enquiry information for the time needed to handle the request and relevant follow-up. If an enquiry becomes a project, relevant information may form part of the project records. Contractual obligations, legal recordkeeping requirements and an unresolved complaint or dispute can affect how long a record is needed. Information that is no longer necessary is to be securely deleted or, where permitted, anonymised.

The website uses HTTPS to protect information in transit. We take reasonable measures appropriate to the information to protect it against unauthorised access, loss or disclosure. No electronic system can guarantee absolute security.

Your choices, requests and complaints

You may contact our Privacy Officer to request access to your personal information, ask for corrections, withdraw consent to a use based on consent, or raise a privacy concern. Where applicable, you may also request a copy of eligible computerised information in a structured, commonly used format.

Explain your request and provide enough information for us to locate the relevant records. We may need to verify your identity before disclosing or changing information. We will explain any applicable limits, including records that must be retained, and respond within the time required by law. Withdrawing consent may limit our ability to continue the related service.

For a complaint, email our Privacy Officer with the issue and the outcome you are seeking. We will review the concern and communicate our response. You may also contact the Commission d’accès à l’information du Québec.

Other websites and client applications

Links to other websites, including portfolio examples, take you to services with their own privacy practices. This policy covers the K&A Media website and enquiries; it does not automatically govern the artist stores, restaurant systems, booking tools or other applications we build for clients.

Changes to this policy

We will update this policy when our practices change and identify the revised date below. If we introduce analytics, advertising, newsletters, payments or new uses of personal information, we will provide the relevant information and obtain consent where required before carrying out those activities.
